Privacy Policy

This Privacy Policy describes how Fieldstone Systems, LLC (“we”) handles information in connection with your use of Notebook (the “Service”). It applies to visitors and registered users.

Information we handle

  • Account information. When you create an account, we process your email address and the name you provide. Authentication is managed by the platform.
  • Workspace and Notebook records. The checklists, tasks, reminders, contacts, supplies, instructions, notes, and other content you create belong to your private workspace. Workspace records are scoped to your workspace and are not shared across workspaces.
  • Subscription and billing information. If you upgrade to a paid plan, we store a reference to your Stripe customer and subscription identifiers and your plan status. Card data is handled by Stripe; we do not collect or store full card numbers.
  • Stripe payment processing. Payments are processed by Stripe, a third-party payment provider. Your payment is governed by Stripe’s own terms and privacy practices.
  • Service emails to registered users. We may send account, reminder, billing, and support emails to your registered email address.
  • Notebook emails initiated by a workspace user. A workspace user you authorize (a member or higher) can initiate certain Notebook emails — such as a housekeeping note — to a recipient they choose. Fieldstone does not independently market to those recipients; the sending user selects the recipient and triggers the send.
  • Support requests. If you contact support, we use the information you provide to respond to your request.
  • Funnel events and conversion analytics. Before you sign up, limited usage, funnel, device-category, and UTM information may be associated with a random browser identifier. After you sign up, funnel attribution may be linked to your account or workspace. Funnel events do not collect passwords or Notebook content. Anonymous questionnaire personalization expires after seven days, and raw anonymous answers are cleared after bounded onboarding transfer, logout, dismissal, or expiration.
  • UTM attribution. If you arrive via a marketing link, we may record standard UTM parameters (source, medium, campaign) to understand what brought you here.
  • Browser local storage. We store limited information in your browser (for example, your active site selection and questionnaire answers) to keep the experience consistent. This stays on your device.
  • Security and operational logs. We maintain operational logs to keep the Service running, diagnose problems, and protect against abuse.

Service providers

We rely on service providers to operate the Service, including hosting and payment processing (Stripe). These providers process information only as needed to provide their services to us, under their own terms.

Retention and deletion

  • Workspace archive. You can archive a workspace to remove it from active use. Archiving is not deletion; the data may still exist in our systems.
  • Account or data deletion requests. You can request deletion of your account or data by contacting us. We will act on valid requests, but we do not promise immediate or complete deletion, because some information may need to be retained as described below.
  • Operational and security logs. We may retain operational and security logs for a period of time to keep the Service running, diagnose problems, and protect against abuse.
  • Billing records. We may retain billing and subscription records as needed for accounting, tax, or legal obligations.
  • Backups and technical retention. Copies of data may persist in backups or technical systems for a limited period before they are removed.
